Sub: Disposal of old records – time limit for.

1. The time limits fixed for disposal of old records as contained in Board’s letter No.E(NG)60/RC1/50, dated 18.07.1960, E(NG)60/RC1/56, dated 19.03.1962 and E(NG)II/81/RSC/3, dated 31.02.1981 are as under:-

3Application of candidate not appointed due to adverse police reports.5 years
4Registration sheets of applications received in response to Employment Notices.3 years
5Applications received after expiry of closing date.6 months
6Irregular applications viz., made of posts, etc.6 months
7Applications rejected after preliminary selection.6 months
8Applications of absentees at written/ practical tests, interview, etc.6 months
9Applications of candidates not appeared.6 months
10Answer Books.6 months from the date of publication of the panels after getting Vigilance Clearance.
11Candidates correspondence.6 months

2.    Some of the Railway Recruitment Boards have been represented that due to shortage of space in their offices, they are facing a lot of difficulties in storing these papers for long periods. These time limits have accordingly been reviewed and it has now been decided that in future the following time limits will apply in disposal of old records:

(i)    1 to 4 and 10 &11:- No change.

(ii)    Item 5, 6 and 8:- These may be disposed of within a period of 3 months from the date of written examination after giving due notice to the Vigilance. The RRBs may give one month’s notice to the concerned Vigilance Organisation, specifying therein that if they do not hear anything to the contrary, these applications will be weeded out and disposed of according to the procedure already laid down.

(iii)   Items 7 and 9:- These applications will be disposed of after 3 months from the date of publication of the final panel after giving one month’s notice to the concerned Vigilance Organisation. It should, however, be ensured that these applications are weeded out and disposed of only in case there are no complaints received or newspaper publicity of unfair means against the concerned written examination/ interview and a clearance from the Vigilance Organisation is taken to this effect before weeding out these applications.
